What we collect

• Contact details -your name, email, phone number, and shipping address, so we can process and deliver your order.
• Your photo -the image you upload for your passport, visa, or ID photo.
• Order details -what you've ordered, your order number, and any notes you add at checkout.
• Payment information -handled entirely by Shopify's payment processor. We never see or store your full card details ourselves.
• Anything you send us directly -messages through our contact form or by email, including your name, email, phone, and whatever you write to us.
• Basic technical information -things like browser type and device, collected automatically as part of running the website.

Your photo, specifically

A photo is at the centre of what we do, so it gets its own rules:

• It's used only to produce the passport, visa, or ID photo you ordered -checked, and adjusted where needed, by a specialist for compliance with your destination country's requirements.
• We don't use it for facial recognition, identity verification, or any biometric purpose. It's treated as a print job, not a dataset.
• We don't sell it, license it, or use it in marketing without asking you first.
• We delete uploaded photos within around 30 days of your order shipping. If you think you'll need a reprint, get in touch before that window closes.

Why we collect it

• To produce and ship your order
• To review your photo for compliance and flag anything that needs fixing before it's printed
• To respond to your questions or support requests
• To send you order updates -confirmation, shipping, delivery
• With your permission, to occasionally let you know about offers or new services -always with an easy way to opt out
• To keep the basic records we're required to keep for tax and accounting purposes

Cookies & analytics

Right now, passphoto.com.au only uses the cookies needed to run the store itself -the kind that keep your cart working and let you check out securely through Shopify.

We plan to start using Google Analytics to understand overall traffic patterns -which pages get visited, how people find the site -mostly in aggregate, not to personally identify you. We may also use Meta (Facebook/Instagram) tools for advertising further down the track. If and when we turn these on, this section will say so plainly, and you'll always be able to control cookies through your browser settings.

Who we share it with

We keep the circle small:

• Shopify, our e-commerce platform, which hosts the store and processes payments securely.
• Australia Post or our courier, who need your name and address to deliver your prints.
• Email and support tools we use to send order updates and reply to your messages.
• If we turn on analytics or advertising tools (see above), those providers receive limited, mostly aggregated data -never your uploaded photo.

Every print is produced in-house. We don't send your photo to an outside lab or printing partner, and we never sell your personal information or share it with anyone outside this list for their own marketing.

Security & where your data lives

Your information is stored on Shopify's infrastructure, including PCI-compliant payment handling -your card details never touch our own systems directly. Because Shopify operates internationally, your information may be processed on servers located outside Australia.

No online system is completely risk-free, but we keep access to your information limited to what's needed to fulfil your order, and we review our practices as the business grows.

Ordering for a child

Many of our orders are passport or visa photos for babies and children. If you're placing an order on behalf of a child, we're relying on you, as their parent or guardian, to provide their photo and details and to consent on their behalf. We treat a child's photo with the same care -and the same 30-day deletion window -as any other order.

Your rights & how to reach us

You can ask us, at any time, to:

• Tell you what personal information we hold about you
• Correct anything that's out of date or wrong
• Delete your information or your uploaded photo, where we're not required to keep it for legal or accounting reasons

To do any of this, email support@passphoto.com.au. We'll aim to respond within a reasonable timeframe -generally within 30 days, in line with the Australian Privacy Principles.

We may update this page occasionally as the business grows or the tools we use change. The "last updated" date at the top will always reflect the current version -worth a check back every so often, especially if it's been a while since your last order. Questions in the meantime?
